Start with the structure, not the boards

New deck estimators count deck boards first and get the estimate wrong. The surface is the easy part; the structure underneath is where the material and the labor live. Start every decking estimate by working out the frame: footing count and depth, posts, beams, joist spacing, and the ledger connection to the house.

Footings and framing have to meet code, and codes vary, so check local requirements before you price, and state on the estimate who pulls the permit. The house matters too: a ledger bolted to a rim joist with proper flashing is a different job than a freestanding deck, and finding rot when the old deck comes off changes the scope entirely. Say in writing what happens if it does.

Price the frame as carefully as the surface. On most decks, framing lumber, footings, and hardware cost more than the boards the customer actually sees.

Measure the deck, the stairs, and the railing

Deck surface is length times width for each level, added together. Multi-level decks, bump-outs, and angled sections each get measured as their own rectangle so nothing gets smoothed over. That square footage drives your board count, but it is only one of three measurements the estimate needs.

Stairs are counted per stair run: number of rises times width tells you tread material and stringer count. Railing is measured by linear foot, including the stair rail runs and any gates. Both are labor-dense relative to their material, so they earn their own line items instead of hiding inside a per-square-foot guess.

Count boards, fasteners, and waste

Deck board quantity comes from the square footage divided by the coverage of one board, with the gap accounted for, then a waste allowance on top for cuts and culling. Picture-frame borders, diagonal patterns, and herringbone inlays all raise both the waste factor and the labor, so price the pattern the customer actually picked, not the cheapest layout.

Then list what the board count misses: joist hangers, structural screws and post bases, hidden fastener systems or face screws by the box, flashing and ledger hardware, concrete for footings, and finish or sealer where specified. Small hardware lines are easy to skip and expensive to absorb.

Labor: frame time versus surface time

Deck labor breaks into phases that run at very different speeds, and the estimate should respect that. Digging and pouring footings, setting the ledger, and framing the structure are slow, skill-heavy work. Laying deck boards is fast until the pattern gets fancy. Railing and stairs slow everything down again.

Price each phase from your own production rates: hours your crew takes per footing, per square foot of framing, per square foot of decking in that pattern, and per linear foot of rail. Multiply total hours by your loaded crew cost, including payroll burden. Materials go in at supplier cost with delivery, and your markup for overhead and profit goes on top of everything. Deck estimating mistakes

  • Counting boards but undercounting the frame, footings, and hardware
  • Pricing a simple straight lay when the customer chose a diagonal or picture frame
  • Forgetting stairs and railing, or folding them into a per-square-foot rate
  • Skipping the ledger and flashing details, then absorbing the fix
  • Not stating what happens if demolition uncovers rot or a bad rim joist
  • Ignoring demo, hauling, and disposal of the old deck

What goes on the estimate

A customer-facing deck estimate names the materials by product line or grade, the deck dimensions and levels, footing and framing specs, railing and stair details, and the fastener or finish system.
