Privacy Policy

The short version

What EstimateBook is

EstimateBook is a mobile app that helps tradespeople (plumbers, electricians, HVAC techs, landscapers, and general contractors) create professional job estimates in minutes, using AI to help draft line items from a job description or photo.

Accounts and sign in

You need a verified account to use EstimateBook, including the free tier. You can continue with Apple, Google, or email. Email registration requires a six-digit code before the app opens. This identity requirement lets a subscription belong to you rather than to one phone.

When you sign in, we receive a unique account identifier, the email address associated with your account, the sign-in provider, and a display name if the provider gives us one. If you choose Apple's "Hide My Email," Apple may provide a private relay address instead of your real one. We never see or store your Apple ID, Google password, or email password. Our sign-in service verifies the provider credential and maintains the session.

Your account identifier is also shared with our subscription management service, so your subscription can be tied to your account instead of to one device.

Signing in does not change where your estimates live. Your saved estimates, customer names, line items, prices, business information, and logo stay in the app's local storage, exactly as described below. EstimateBook does not upload, sync, or back up that content to our servers, whether or not you're signed in.

Data stored on your device

Everything you enter into EstimateBook (your business info, saved estimates, line items, prices, tax settings, and preferences) is stored locally using your device's standard app storage. We do not operate a server-side database of this content, so we don't have a copy in our systems and can't see it. This is true whether or not you've signed in; signing in only affects your account and subscription status, described above, not this content.

Your device's Apple or Google backup settings may include app data in a device backup controlled by that platform. EstimateBook does not control those backups. You can manage them in your device or platform-account settings.

Uninstalling the app removes its local data from that device. If you want to remove it without uninstalling, you can do so from the Settings screen in the app. A platform backup may remain subject to Apple or Google's retention and deletion controls.

Data sent off your device, and why

Two features require sending data off your device to work. In both cases, the content is used to generate a response for you in that moment. We do not write the request content or result to our application storage. The processors described below may keep limited operational metadata under their own policies.

1. Generating an estimate

When you type a job description (or attach a photo) and ask EstimateBook to draft an estimate, that text (and the photo, if you included one) is sent to our backend, which forwards it to an AI model provider to generate the draft line items. Job descriptions without a photo are processed by a text model; descriptions with a photo attached are processed by a vision model so it can read the photo. We configure our AI provider to use only model endpoints that offer zero data retention for request content. The provider may keep request metadata such as token counts, latency, and model details. We do not retain a copy of your job description, photo, or generated estimate on our application servers.

2. Voice input

If you use the microphone to describe a job by voice, the audio recording is sent to our backend, which passes it to a speech-to-text service to convert it to text. We do not write the audio or transcript to our application storage, and the transcription provider states that customer content is not used to train or improve its models. The resulting text is returned to your device and dropped into the job description field, just like if you'd typed it.

3. Subscriptions and payments

EstimateBook offers an optional paid tier, which requires signing in as described in Accounts and sign in above. Purchases are handled entirely by Apple's App Store or Google Play, with a subscription management service confirming subscription status. We never see or store your payment card details. That's handled by Apple/Google directly. The subscription service receives your account identifier and your purchase/subscription status, which lets your Pro subscription follow your account across devices. It does not receive your estimates, job descriptions, or other app content.

None of these services receive your saved estimates, customer list, business details, or logo, unless the text happens to include them because you typed it into a job description.

What we don't do

Data retention and deletion

Because your estimates, customer names, line items, prices, and business details live in local app storage, you can delete individual estimates or clear all app data from within Settings, or remove local app data by deleting the app. There is no copy of this content in EstimateBook's server-side storage for us to delete. If your platform has backed up the app, manage that backup through Apple or Google.

If you've signed in, we hold a small account record: your account identifier, email address, provider, and display name, plus subscription status and short-lived backend verification metadata. You can delete the account from Settings or follow the instructions on our account deletion page. The app first deletes the subscription record and backend metadata, then the sign-in account is deleted. Deleting the app removes your on-device data but does not delete the sign-in account on its own.

Children's privacy

EstimateBook is a business tool intended for tradespeople and contractors. It is not directed at children, and we do not knowingly collect personal information from anyone under 13 (or the relevant minimum age in your region).

Your rights (GDPR, CCPA, and similar laws)

If you're in the EU, UK, California, or another region with data protection laws, you have rights over your personal data, including the right to know what's processed, request deletion, and opt out of any sale or sharing of data. EstimateBook doesn't store your estimates or other app content on our servers and doesn't sell or share that data. You can delete local app content from Settings or by uninstalling the app; platform backups are controlled through Apple or Google. For the account data described above (your account identifier, email, and display name), you can request deletion at any time using the process in Data retention and deletion. For content processed transiently for AI generation or transcription, you can stop sending new requests at any time. If you have questions about your data, contact us at the email below.

Changes to this policy

If we change how EstimateBook handles data, we'll update this page and revise the effective date above. Significant changes will also be noted in the app's release notes.
